Copy preparation guidelines: Manuscript and lists of graduates

Please submit all copy on 8 1/2 x 11-inch white paper, doublespaced even if you send copy by e-mail. Editing, type specs, and instructions to the printer are made on the hard copy.

1. Along with a hard copy of your manuscript, you must submit your copy on a disk, CD, or e-mail (smorrow@k-state.edu). Write your filename(s) on the top lefthand corner of your manuscript and on your disk, CD label, or subject line of your e-mail. You may provide separate files for the ceremony events list, biographies, and list of graduates.

If you are unsure about the compatibility of your disk, please contact Rick Butler at K-State Printing Services by calling 2-1534 or e-mailing butler@k-state.edu.

2. Number all pages in consecutive order. Your ceremony events list is page 1; your award biographies or lists of award winners follow; the list of degree candidates is last.

3. Names of degree candidates should be listed by degree within the respective department of candidacy or as you usually list it in your section of the program. Please include the candidate’s hometown. Names should be listed in alphabetical order. Example:

4. Use the following notations to indicate candidates with special status.

* Double, multiple majors
(D) Dual degree
(H) Honors program
(S) Secondary major
(S09) Spring 2009 graduate
(S010) Spring 2010 candidate
(Cl) Cum laude
(Mcl) Magna cum laude
(Scl) Summa cum laude
(P) Posthumous (optional)

Note that all notations appear with each college.

5. When listing hometowns, it is not necessary to list “Kansas” after Kansas towns, unless there would be confusion about the home state. For example:

John Jones, Topeka
Mary Davis, Minneapolis, KS

Be sure to use state abbreviations.

6. Do not type headings in all caps.

7. Please doublespace between sections in your graduate list and between paragraphs in your bios.
