ITAC, University Archives and Records Management to stage universitywide Shred Day on Oct. 24

To properly dispose of university records, a Shred Day will take place from 8:30-11 a.m. Wednesday, Oct. 24, on both the Manhattan and Polytechnic campuses.

Examples of documents that could be shredded include Scantron forms; greenbar grade sheets; rosters printed from K-State Online, KSIS, SIS, etc.; papers with personal identity information; data with credit card information; personnel files; and more. For your convenience, papers can be left in ring binders, spiral bound notebooks, file folders and hanging file folders.

Departments can deliver their paper documents with personal identity information — Social Security numbers, birth dates, credit card numbers, etc. — in designated bags and boxes to designated locations. In Manhattan, materials should be delivered to Mid-Campus Drive near the K-State Student Union. The Polytechnic campus delivery location is the loading area between the east and west wings of the Technology Center.

On the Manhattan campus only, departments with more than five boxes or bags can contact the Information Technology Assistance Center at 785-532-4918 to schedule a time and location for pickup.

We also will facilitate disposal of light storage media — floppy disks, flash drives, etc. As with paper, media materials must be delivered in boxes weighing less than 25 pounds each. If you have a significant amount of electronic records, please contact the university records manager for further assistance and inventory.

Please review the university retention schedule to ensure records are being destroyed in compliance with university policy and in the appropriate timeframe. Bags or boxes should not weigh more than 25 pounds each and should be accompanied by a Campus Shred Day form (PDF). The related university retention schedule (SeriesID) must be entered on the Shred Day form. Please do not leave bags and boxes unattended at any time.
