Add a New Academic Program

 

Purpose

Use this procedure to add a new academic program to a student's Program/Plan Stack.

Trigger

Perform this procedure when a student has requested a new major (Academic Plan) that is in a different Academic Program from his/her current Academic Plan pursuits.

Prerequisites

·         Student must be admitted to the University.

·         Career that houses the Academic Program must exist in the student's Program/Plan Stack.

·         This document will begin the process of adding a new Academic Program to a student's Program/Plan stack.  To complete the process, an Academic Plan must also be added.  See Adding a New Academic Plan documentation for details on completing this action.

1.       Records and Enrollment  Career and Program Information  Student Program/Plan.

2.       At a minimum, complete the following required fields to find the appropriate record:

    At this point we are verifying that the student has the appropriate Academic Career in order to be able to add the Academic Plan

A Grouping of all academic work undertaken by a student grouped into a single statistical record.  KSU will use Undergraduate, Graduate, and Veterinary Medicine careers to designate their students.

K-State issued student identifier.  Also called, the Wildcat ID (WID).

Example:         (left blank)

National ID

O

National identification number issued by the government.  Social Security Number (SSN).

Example:         (left blank)

Last Name

Person's last name.

First Name

Person's first name.

Student Academic Program/Plan

 

3.       Review the following pieces of information:

3.1          Verify that the student has the appropriate Academic Career.

3.2          Record the student's highest Career Number value.

3.3          Verify that the new Academic Program does not already exist.

    The new Academic Program will need to have a Student Career Number 1 greater than the existing highest value, unless the new Academic Program will contain the student's Primary Academic Plan.  All primary Academic Plans MUST have a Career Number of 0 and a Plan Sequence Number of 0.

    If the new Academic Program is to be the new PRIMARY Program for the student, this value must be set to 0.  Otherwise, add 1 to the highest Career Number recorded earlier.

8.       As required, complete/review the following fields:

Effective Date

The date on which the settings become effective.

     Effective Date should be on or before the first day of the term in which student will first enroll in selected program

·         If effective for Spring, then enter 1/1/YYYY

·         If effective for Summer, then enter 6/1/YYYY

·         If effective for Fall, then enter 8/1/YYYY

Effective Sequence

R

Order in which conditions are to be assessed.

    The higher Sequence Number takes precedence over lower Sequence Numbers.

    This will be set by the system unless the same record is adjusted twice in the same day. Then the higher number will indicate the most recent change to the record.

Program Action

R

Change to be performed to a student's Program.

    Some of the common values to be used here are:  ACTV (Activate - Used for new Programs and new Plans), DATA (Data Change), PLNC (Plan Change), PRGC (Program Change).

    Other values do exist.  Refer to Program/Plan Maintenance Overview for full details.

Action Reason

Reason code that describes why the action was taken.

Academic Institution

R

Kansas State University, indicated as 'KSUNV'.

Example:         KSUNV

Academic Program

R

The academic entity to which the student applies and which oversees the degree progress of a particular Academic Plan.  For example, Undergraduate in the College of Arts and Sciences.

    This should be the new program that is being added.

Example:         ARUDG

Admit Term

R

Term (semester and year) the student was admitted to KSU.

    This is not the term the student is admitted to K-State.

Example:         2072

Requirement Term

O

Indicates the term in which academic degree progress requirements apply to the student for this Academic Program.

    This defaults to the Admit Term.

Example:         (left blank)

Expected Grad Term

O

Term the student expects to graduate from the specified academic program.

    This value MUST be left blank until the student has applied for graduation.  Entering inappropriate values here will impact a student's eligibility and receipt of Financial Aid.

Campus

R

"KSU".  The Campus in iSIS is used to designate entities that use a single transcript, course catalog, and other academic differences.  The Salina and Continuing Education classes are designated as Locations in iSIS.

Acad Load

R

Indication of how many units a student in which a student is currently enrolled.  Designated as Full-Time (12 or more units), Three-Quarter Time (9-12 units) or Half-Time (6-12 units).

    This is a default load that is set for the Program and may not reflect the actual load of the student.

Example:         Full-Time

 

9.       Proceed with adding a new Academic Plan for the student.

    The Academic Program cannot be saved until the Academic Plan has been added.

10.     You have completed this task.

Result

You have initiated the addition of a new Academic Program to a student's Program/Plan stack.  To complete this process, you must add at least one Academic Plan.
