How do I fill out the order forms?

I am sure we have all said it at least once before when we have ordered a print job – “I just need.” When you are ordering a job it may seem like a very simple task to you because it is your concept and you have been working on it and have put the project together. But remember, this is the first time that we have seen the job and we need as much information about your specific job as possible so that you receive your job looking the way you intended. That is the reason why when you bring in a job we will always ask for a printing requisition. This is different than an office requisition. Our printing requisitions will give us the specific information needed to proceed with your particular print job. Printing requisitions tell us what kind and color of paper you want, how many colors of ink to use, what size it should be, and how many pages it is. Below you will find copies of our order forms with some helpful tips on what some of the terms mean. If you have had an estimate done prior to ordering your project indicate that on the requisition. Fill out the appropriate form as completely as you can and if you have questions please feel free to call. It is very important that you give us a phone number where we can contact you if we have questions about your job. Provide us with a date that you need the job, ASAP does not necessarily mean the same to us as it does to you. Please order a quantity of finished pieces by number not by box – we have different size boxes.

When you submit your job it is a good idea to submit a hard copy, even if it is black and white, or a reprint. That way we know what you are expecting your finished piece to look like.

The Printing Order/Requisition –

  • The Quantity is the number of finished pieces you want to order. When the job is delivered to you this is how many you expect to receive.
  • The Description/Title is what you would call the job if you were to call over and ask about the job. Your job needs a title that will differentiate it from the rest of the jobs that we have being printed in the shop.
  • The number of pages/panels - count as if it was a piece of paper printed on both sides. Click here for help.
  • The finished/final size is the size it will be when it is delivered to you.
  • Bleeds. Click here for help.
  • Will your project print on one side or two sides of the paper.
  • The Job Ticket # is assigned by KSPS.
  • The Requisition # is assigned by your department if they use them.
  • The Department is who the job will be billed to.
  • The Contact is who we will call to look at proofs or if we have questions about the files.
  • The Quote/Estimate # is if asked to have an estimate done before you ordered your porject.
  • The Previous job # would be if the job is a reprint and you want us to retrieve the job and print it again. This number is on your delivery slip.
  • The Delivery Address is important. We need to know where to deliver the job once it is completed. Please give a physical address not just a person’s name.

Design/Layout

  • Typesetting – Do you need design
    work done or corrections made to an old file?
  • Offset press – Running on the press.
  • Digital – Running on the copier.
  • Letterpress – Only needing perforating or scoring.
  • Proofs – Electronic (by email), page (a color or b&w print of the file to be printed), wide format (most common for 4-color work), press (watching it come directly off the press).

Paper/Ink

  • The Paper – text weight or cover weight paper, carbonless NCR paper, tell us what color and weight if you know.
  • The Ink – tell us what color(s) you want on the front and what color(s) you want on the back. (Black is a color)

Bindery/Finishing

  • Tell us what # to start your numbering
  • Saddle Stitch is two staples like a magazine
  • Do you want your piece tabbed for mailing?
  • Staple ULC (upper left corner)
  • Carbonless pad (NCR)
  • Drilling (punching) holes
  • Padding - regular, like a notepad

Mailing Department

  • Generate labels – we inkjet your addresses directly onto your piece.
  • File e-mailed – you send your database file diectly to our mail department.

 

The Letterhead Order –

The most common question asked when people place their order for letterhead is which paper did I use last time? The easiest way to determine the type of paper your letterhead is printed on is to hold the sheet up to the light and see if it has a watermark. If it has one that says 25% cotton it is the 25% Cotton bond on the order form. The 20# bond paper is similar to paper you would use in your copiers and desktop printers.

  • For all new and revised letterhead orders, provide an email. You will receive a digital proof to approve in order to speed up production, and they are clearer than faxes. Straight reprints will not receive proofs.
  • If you know the last time you printed your job and what the KSPS job number was, provide it and we will print the most current version of your job. (This number is on your delivery receipt.)
  • Provide a delivery address. Not a person, but a location. We do not know where everyone’s campus office is.
  • Always provide a sample of your letterhead, even if there are no changes to be made.

The Envelope Order –

  • The standard size envelope for a tri-fold piece of paper is a #10
    – a #9 is the standard business reply envelope that will fit into a #10.
  • If you need a size that is not listed write it in on the provided line at the bottom.
  • You can submit more than one envelope size order per form.
  • Always provide a sample of your envelope, even if there are no changes to be made.

The Business Card Order –

  • There is a standard layout for the business cards. Provide the information, choose the logo you want to use, and we will set it in the correct format for you.
  • Your proof will be sent by email so be sureto include one on the form.
  • The departmental special only works in multiples of 5, all using the same logo.
  • Always provide a sample. Your card is reset each time so you will receive a proof on each order of business cards.

The Mail Only Order –

  • If you just need to order an A&K list this is the simplest form to use.
  • If you are just having something tabbed, addressed, or mailed this is the form to use.
  • If you need you have your list varified with the NCOA link only use this form for convinence. Click here to learn more.

The Wide Format Poster Order –

  • If you need to order a large format poster - anywhere from 18" x 24" up to 54" x 240" (4.5' x 20') this is the form to use.
  • You can request a small proof to make sure everything shows up.
  • You need to specify which paper you want it on.
  • You can get it laminated.
  • You can get it mounted on foamboard.
  • If you use vinyl material, you can have grommets added for hanging.

The Memo/Routing Slip Order –

  • There is a standard layout for memos and routing slips. If you provide the information we will set it in this format for you.
  • If you have a sample from another department you can use it and make changes to fit your department, then submit that for your hard copy. Or you can create your own.
