.010 Introduction

The general principle guiding access to K-State information technology (IT) resources and facilities is:

K-State IT resources are provided by the University to members of the current K-State community to support the teaching, research, and service mission of Kansas State University.

.020 Definition

K-State eID - the electronic identifier allocated to an individual. The eID has attributes which enable access to centrally managed IT resources with proper authorization. At the present time, these resouces include:

an e-mail address (eID@ksu.edu) KATS a Unix account
dialup Internet service disk space for data a personal web page
remote access to Library resources K-State Online University Computing Labs

Affiliated Organizations - an organization that supports the mission of and has a formal relationship with Kansas State University, but is not a recognized K-State department and typically their staff are not employed by the state of Kansas. Examples include the K-State Alumni Association, KSU Foundation, IDEA Center, K-State Department of Intercollegiate Athletics, NISTAC, and the U.S. Military employees of the ROTC programs.

.030 Eligibility

1. Students

All currently enrolled students and students admitted for the next semester will be enabled for full access to the IT resources. Students are verified through the university's Student Information System (SIS). Student access remains active over the summer semester.

2. Faculty and Staff

All faculty, staff, adjunct faculty, adjunct staff and retired employees will be enabled for full access to the IT resources. Employment is verified through the Human Resources employee database.

3. Special Access

Individuals who are associated with the university in a manner that furthers the mission of the university may apply for access to IT resources needed to fulfill their obligations to the university.

To request a Special Access eID:

The Director of CNS or designee is responsible for verifying that the following information is provided before a Special Access eID is created:

Types of Special Access accounts:

  1. Previous students who have been granted additional time to complete coursework are eligible to have their K-State eID enabled for the access necessary to complete that work. The instructor of the incomplete class must submit the Special Access form.

  2. Employees of affiliated organizations are eligible for a K-State eID with only the access enabled that is required for their work with K-State. The unit personnel officer for the organization is responsible for keeping the list of eligible employees. This list will be submitted to Computing and Network Services (CNS) yearly and other changes (for example, new employees or employees that are leaving) will be submitted within two weeks of the change.

  3. Individuals who serve as liaisons for building community among students may be eligible for a K-State eID enabled for e-mail access only. The office of the Vice President for Institutional Advancement keeps the list of these approved individuals and will submit it to CNS yearly. Changes to this list will be submitted within two weeks of the change. The eIDs may only be used in the provisioning of service to students.

  4. Others who do not qualify for an account based on the criteria above may be eligible for access to IT resources if ALL the following conditions are true:

.040 Duration

Access to IT resources will remain enabled until the individual no longer meets the eligibility requirements. All electronic data solely controlled and owned by this eID stored on central servers will be deleted 180 days after eligibility to access this data ceases.

eIDs are assigned to individuals as long as they have a valid password or are being forwarded to a valid e-mail address. eIDs are released for reuse after five years of inactivity.
