Manage Access to Sensitive Advising Notes
Granting and removing access to sensitive notes is controlled solely by the author. By default sensitive advising notes are viewable only to the author. If desired, the author can grant view-only access to their sensitive notes to others who also have the advising role in KSIS. Each time access to sensitive notes is granted, changed, or revoked by the author, KSIS will send a confirmation email to the grantee, with a copy to the grantor.
Important! Granting access to sensitive notes is at an advisor level, NOT at an individual student or advising note level. This means the grantee will be able to view ALL of the grantor's sensitive notes in KSIS for ALL students.
See the Guidelines for KSIS Advising Notes for guidance and best practices on drafting and managing advising notes in KSIS.
To manage access to sensitive notes:
- Log into KSIS with your eID and password.
- In the KSIS Links, click KSU Advisor Center.
- Click Sensitive Access in the advising notes area.
- Use the Advisor Search to find the person with whom you wish to provide access to sensitive notes. Search by:
- Last Name
- First Name
- eID
Then click Run.
- Click the box next to the person you wish to grant access, then click Grant Access to My Sensitive Notes.
- The person's name you selected will be displayed in the Individuals who can view my sensitive advising notes section.
- If no date is entered in the Expires field, the person's access will be open-ended. If desired, enter an expiration date by clicking the calendar icon and selecting the date. The person's access to sensitive notes will be automatically revoked once the expiration date has been reached. The expiration date can be manually changed by the grantor at any time by clicking the calendar icon.
- To manually remove a person's access, click the box next to the person's name, then click Remove Access to Sensitive Notes.
- When finished, click Return to Advisees to return to the My Advisees page.
