Commemorate Kansas/Serve Kansas Mini-Grants
Kansas Campus Compact, with the support of the Kansas State Historical Society, is proud to promote the 2010 Commemorate Kansas/Serve Kansas program. The goal of Kansas Campus Compact is to strengthen the civic engagement and community service elements of higher education in Kansas and help institutions build sustained relationships between their students and faculty and their neighborhoods and communities. Kansas Day is January 29, 2010.
Kansas Campus Compact is inviting member institutions of higher education to apply for funding for initiatives that support individual and collaborative campus efforts to pair celebrations of the history of Kansas on Kansas Day with opportunities to provide meaningful, sustainable service to the state and its citizens.

OBJECTIVES
The purpose of the 2010 Commemorate Kansas/Serve Kansas Program is to support innovative activities at 2-year and 4-year colleges and universities that foster a greater appreciation for Kansas history and promote opportunities for students, faculty, and community members to do measurable, meaningful, sustainable service to their communities. The funding made available by this RFP will assist campus organizations and community partners in designing effective events that achieve these ends on and around January 29, 2010. Specifically, applicants should be able to demonstrate the following three program objectives for all projects:
Objective #1: Commemoration of Kansas history
Objective #2: Mobilization of Kansas higher education students to serve their communities
Objective #3: Impact on local communities
GUIDELINES
Applications must be in accordance with the requirements of the RFP, including the following additional review criteria:
- The planning process should include higher education students, with defined roles, in the development of the program.
- Applicants must demonstrate how the grant will lead to sustainable efforts beyond the actual 2010 Kansas Day.
- Applicants should demonstrate their capacity and experience in implementing successful service and learning projects.
- Applicants should describe clearly defined outcomes.
- Preference will be given to those applications that emphasize one or more of the following:
- Engagement with community partners outside of the campus population
- Production of tools for use by other communities in future local history events
- Each applicant must identify a Project Coordinator to serve as the primary contact. This Project Coordinator will be in close communication with the Kansas Campus Compact Executive Director. The Project Coordinator is responsible for data collection, pre-project training, overall project oversight, management and reporting.
- Kansas Campus Compact’s logo (which will be provided by Kansas Campus Compact) must be displayed at all project/event sites and on materials relating to the project for which the funds were given.
- Projects must begin, or occur in significant part, on Kansas Day (January 29, 2010).
- Mini-grants will be administered on a reimbursement basis.
REPORTING
In your advance planning for the 2010 Commemorate Kansas/Serve Kansas event, factor into your schedule the reporting aspect of your program. Kansas Campus Compact is requiring each subgrantee to adhere to the following reporting requirement:
Final Report - Due by February 28, 2010
This report should be no more than five (5) pages and should include a narrative with significant highlights on the including:
- Numbers of college and community members participating in history activities
- Numbers of college and community volunteers participating in service activities
- Number of hours served
- Number of community partners and civic officials involved
- Publicity received (relevant attachments including photos with accompanying captions and testimonials as well as media items)
In addition, the report should include financial information, including receipts and detailed information on sources for matching funds and have clear indicators about how matching funds and in-kind donations are tracked.
GRANT AMOUNT
For the 2010 Commemorate Kansas/Serve Kansas event, it is anticipated that Kansas Campus Compact will make awards at the following levels for qualified applicants: approximately 8 grants at $750 depending on the quality of proposals and the availability of funds.
MATCHING REQUIREMENT
Applicants must provide a non-federal match of at least 50% of the total cost of the project, which may include cash and in-kind contributions. Examples of in-kind donations include but are not limited to:
- Donated staff time used in planning
- Volunteer STAFF time (BUT NOT volunteer participant time in the actual service project)
- Collaborating/community partner staff time
- Supplies (Paint, tools, t-shirts, etc)
- Trainers
- Snacks & meals
- Transportation
- Facilities costs
- Equipment
- Services
- Advertising & promotion
- Printing
It does NOT include time for volunteers whose only role is as a participant in the service project. However, volunteer staff time used in planning can be counted as part of the match. All matching dollars or in-kind must be sufficiently documented. The match can come from funds or resources provided by federal, state and local government resources.
Applicants must provide a match of at least 50% of the total cost of the project. For example, if you request $750, you must have a match of at least $750 (cash and/or in-kind contributions) and a total project cost of at least $1,500.

The following is a timeline of the important dates surrounding this grant. You must submit the application by 5:00PM CST, November 18, 2009.

Applications will be accepted on or before 5:00 PM CST, November 18, 2009. Funding awards will be made on a highest-ranked basis after evaluation. Applications may emailed, mailed or hand delivered but must be received by the deadline. No faxed applications will be accepted.

Application contents:
- Cover sheet that includes all relevant contact information for your organization, including but not limited to, the name of the contact person and their phone and fax number, and a brief executive summary (500 words) of your proposed project.
- Proposal (no more than three single-spaced, single-sided pages) that includes the following:
- Kansas History: Describe in detail your project’s activity or activities designed to celebrate Kansas history and how it will broaden appreciation for Kansas history. Please be sure to identify the objectives, the target audience and the participants, and what specific Kansas history topic(s) you will include.
- Kansas Service: Describe in detail your project’s community service project and how it will strengthen the targeted community. Please be sure to identify the target population, the need being addressed, and the objectives of the service activity.
- Project cost. Amount of your request (up to $750.00 maximum).
- Plan to publicize your project with local and campus media.
- Plan to engage local or state officials.
- University Staff responsible for your proposed project, including the organization's qualifications, background, primary mission, and history. Please include a summary of any other grant support received by Campus Compact and the results of that support.
- Detailed budget for your project.
