Sharing calendars

  1. Click the Calendar tab.
  2. Right-click the calendar you want to share and then click Share Calendar.

  3. Select who you want to share with and then follow the instructions below for the type you chose:

    Internal users or groups

    K-Staters with @k-state.edu and @ksu.edu e-mail address.

    1. In the Email box, type the e-mail address(es), separated by a comma or semicolon, of those you want to share with.

      Note: If you want to add multiple people with different roles, you must add them one at a time.

    2. In the Role section, choose the level of access you want those you are sharing with to have:
      • None
      • Viewer - User will only be allowed to view activities posted to the calendar and the status of meeting requests, but cannot make any changes to the calendar.
      • Manager - User will be allowed to create meetings, accept or decline invitations, as well as edit and delete activites.
      • Admin - User will be allowed to create meetings, accept or decline invitations, edit and delete activites, share the calendar with others, and revoke calendar shares.
    3. In the Message section, select one of the following:
      • Do not send mail about this share - No message is sent.
      • Send standard message - The standard share notification message is sent to the e-mail address(es). This message includes the name of the item being shared, your address, the address of the user granted permission to share the item, and the role assigned to that user with a list of the allowed actions.
      • Add a note to standard message - You can add additional information to the standard message.
      • Compose e-mail in new window - Create and send a new e-mail message.

        Note: If you choose Do not send mail about this share, the recepient will not be able to accept or decline the invitation.

    External guests

    Users who do not have a K-State e-mail address, such as those with @gmail.com or @hotmail.com addresses.

    1. In the Email box, type the e-mail address(es), separated by a comma or semicolon, of those you want to share with.

      Note: If you want to add multiple people with different roles, you must add them one at a time.

    2. In the Password box, type a password they will use to view the address book.
    3. In the Message section, select one of the following:
      • Do not send mail about this share - No message is sent.
      • Send standard message - The standard share notification message is sent to the e-mail address(es). This message includes the name of the item being shared, your address, the address of the user granted permission to share the item, and the role assigned to that user with a list of the allowed actions.
      • Add a note to standard message - You can add additional information to the standard message.
      • Compose e-mail in new window - Create and send a new e-mail message.

        Note: If you choose Do not send mail about this share, the recepient will not be able to accept or decline the invitation.

    Public

    Anyone who knows the web address (URL) of the shared item can view it but cannot make any changes to the information.

  4. Optional: In the URL section, share the web address shown with those you are sharing the calendar with.
  5. Click OK.
