Scheduling Locations and Resources

When scheduling appointments, you can schedule locations (rooms) and resources (equipment) along with attendees. The naming conventions used for locations and resources are:

  • Locations - <building code>-<room number>-loc
  • Resources - <dept code>-<descriptive text>-res

Locations

  1. Click the Find Locations tab.
  2. Click the Search button to view a list of all locations or type in search criteria to narrow your search.

  3. Double-click the location you want to schedule.

    Note: If you want to schedule multiple locations, click the Allow multiple locations check box.

  4. View the location(s) free/busy times by clicking the Schedule tab.

    Note: If you attempt to schedule a location but are not authorized, you (but not other invitees) will receive an e-mail message declining the request. If the location scheduling request is declined, the location will still show in the meeting details.

  5. Click the Appointment Details tab and review the appointment to ensure all the information is correct.

Resources

  1. Click the Find Resources tab.
  2. Click the Search button to view a list of resources or type in search criteria to narrow your search.

  3. Double-click the resource(s) you want to schedule.
  4. Ensure that the resource(s) are available by clicking the Schedule tab to view free/busy times.

    Note: If you attempt to schedule a resource but are not authorized, you (but not other invitees) will receive an e-mail message declining the request. If the resource scheduling request is declined, the resource will still show in the meeting details.

  5. Click the Appointment Details tab and review the appointment to ensure all the information is correct.
