Running the Midterm Grade Report

 

Purpose

Use this procedure to run and view the Midterm Grade Report.

Trigger

Perform this procedure after midterm grades have been completed and you need to review the students with unsatisfactory progress.

Prerequisites

User must have security to the report being run and the data the report requests.

Menu Path

Use the following menu path(s) to begin this task:

·         Curriculum Management  Grading  KSU Midterm Grade Report

Helpful Hints

·         This report shows only those students whose midterm grade is reported as Unsatisfactory.

·         The report also shows the reason the Unsatisfactory progress was recorded.

·         The report can be run by Academic Group (college) or for the entire University.

·         Additionally, the report can be grouped by Academic Plan (major) or by advisor.


Procedure

1.       Curriculum Management  Grading  KSU Midterm Grade Report

2.       At a minimum, complete the following required fields to find the appropriate record:

Description

Run Control ID

R

Name given to a series of settings used to run reports.  Many Run Control IDs can be saved for the same report, each with a different set of settings.

    If the selected Run Control ID does not exist, click  and enter the name to create it.

Example:         mtgrade

 

3.       Click  .

    Click  , if adding a new Run Control ID value.

4.       As required, complete/review the following fields:

Select Academic Term

R

Semester in which classes are offered.  Terms are identified by a four-digit number where the first digit represents the century, the second and third digits represent the year, and the final digit represents the semester (2 for Spring, 3 for Summer, 5 for Fall).

Example:         2085

Academic Group

C

The College associated with a particular Program, Course, or other Academic element.  For example, the College of Agriculture, College of Engineering, etc.

Example:         BA

Select All Academic Groups

C

Check this box to run the report for all colleges.

Example:         (left unchecked)

Student Plan Report

C

Check this box to group midterm scores by Academic Plan.

Example:         (left unchecked)

Advisor Report

C

Check this box to group midterm scores by Advisor.

Example:         ü

 

5.       Click  .

6.       Click  to open the Process Scheduler for processing of report.

    Clicking  will also save the settings for the Run Control ID.

7.       As required, complete/review the following fields:

    This is not recommended for use at this time.

Date to run the report.

    This defaults to the current date.

Time to run the report.

    This defaults to the current time.

8.       As required, complete/review the following fields:

Method for distribution of the report.

    For now use only Web type.  Other types may have unexpected results.

Format for the distribution of the report.

    We recommend using PDF format.  For this report, the Excel format will look exactly like the PDF format, which is more intended for viewing than for electronic manipulation.

9.       Click  .

10.     Notice the Process Instance number assigned to the report request.  This indicates that the request has been successfully submitted.

11.     To proceed with viewing the results of the report, click  .

13.     Perform one of the following:

Status of the Request is Posted

Proceed with Step 14.

Otherwise

Click Refresh until status changes to Posted.

 

14.     Click  .

    The system will now open another window and launch a PDF document (or whatever format was selected).

    If there a PDF document does not open, there was no output from the report request.  This usually means that the settings in the Run Control ID produced no results.  In some cases, as in some Class Schedule error reports, the absence of a report indicates that there is no data in the report.

15.     You have completed this task.

Result

You have a new window open with the KSU Midterm Grade Report in the format that was selected.
