Assigning a Student Advisor

 

Purpose

Use this procedure to assign an Advisor to a Student.

Trigger

Perform this procedure when a student is to be assigned an advisor for their Academic Plan or Program.

Prerequisites

None

Menu Path

Use the following menu path(s) to begin this task:

Helpful Hints

·         Students can have more than one Academic Advisor.

 


Procedure

1.       Records and Enrollment  Student Background Information  Student Advisor

2.       As required, complete/review the following fields:

iSIS unique system identifier.

Example:         0000000072

Campus ID

K-State issued student identifier.  Also called, the Wildcat ID (WID).

Example:         (left blank)

National ID

O

National identification number issued by the government.  Social Security Number (SSN).

Example:         (left blank)

Last Name

O

Person's last name.

Example:         (left blank)

First Name

O

Person’s first name.

Example:         (left blank)

 

3.       Click  .

Student Advisor

 

4.       Perform one of the following:

If

Then

Student already has advisors and you will be assigning a new Effective Date

Click  in the upper region (top right area) to insert a new Effective Dated row.

Student has no existing advisors OR you will not be changing the Effective Date

Do nothing for this step.

 

5.       As required, complete/review the following fields:

Academic Institution

Kansas State University, indicated as ‘KSUNV’.

Example:         KSUNV

Effective Date

R

The date on which the settings become effective.

    The effective date should conform to the semester in which the advisor assignment is to be effective.  Appropriate Effective Dates are 01/01/yyyy (spring), 06/01/yyyy (summer), and 08/01/yyyy (fall).

    If a row of data for the appropriate Effective Date already exists, click the Correct History button at the bottom of the screen and do not change the Effective Date.

6.       Perform one of the following:

Then

Adding a new Advisor to the student (keeping all existing advisors)

Click  in the lower region.

Changing an existing advisor to someone else

Overwrite the existing data for that advisor.

    Beware of overwriting valid advisors for students with multiple Academic Plans (majors).

Removing an existing advisor

Click  in the lower region for the selected advisor.

    Beware of removing valid advisors for students with multiple Academic Plans (majors).

 

7.       As required, complete/review the following fields:

Advisor Role

Indicates the role the Advisor plays for the student.

    Graduate School roles will include committee members and will vary depending on the type of committee being formed.

Advisor Number

R

Number assigned to the advisor.

    This number will be assigned by the system in the order in which the Advisor is assigned to the student.

Example:         1

Academic Career

R

A Grouping of all academic work undertaken by a student grouped into a single statistical record.  KSU will use Undergraduate, Graduate, and Veterinary Medicine careers to designate their students.

Example:         UGRD

Academic Program

R

The academic entity to which the student applies and which oversees the degree progress of a particular Academic Plan.  For example, Undergraduate in the College of Arts and Sciences.

Example:         BAUDG

Academic Plan

O

A course of study leading to a formal award given by an institution, such as a degree, diploma or certificate.  For example, Bachelor of Arts in Mathematics.

    Note that students may contain multiple Academic Plans.

Example:         UBAPP

Academic Advisor

O

Person from the Dean's office assigned to assist students in that college in planning their academic career at K-State.

    This field requires the advisor’s iSIS-defined ID.  You can use the search button to the right to lookup this value.

Example:         0000000038

 

8.       Perform one of the following:

9.       Click  to insert a new row.

10.     Go to Step 5.

11.     Click  .

    If you receive an error message, refer to the Student Advisor Issue Resolution documentation for assistance.

12.     You have completed this task.

Result

You have assigned an advisor to a student.

Comments

For Graduate School committees, assign each member of the committee as an Advisor for the student.  The Advisor Role will vary depending on the type of committee being formed.
