Additional Pay
A recent audit revealed that some additional pay forms were submitted requesting the additional pay be funded from grant projects.  Additional pay, which includes overload and contractual pay, must be paid from non grant projects.  Additional pay can not be paid from sponsored agreements (grant projects).  Additional Pay Form/Instructions:  http://www.k-state.edu/hr/forms/

Automatically Terminating Student Employees
If your department has students active in HRIS but no longer working, an easy, paperless way to terminate them is to use the End of Appointment date in HRIS.  Once terminated, they will no longer appear within the time entry page, waste paper producing time documents or appear on current payroll reports.  Also, their separation will open the position and enable the department to hire someone else.  Please assist HR in producing more accurate counts of active employees by terminating these employees.  When entering the end of appointment date remember to use only current or future pay period dates.  Instructions: http://www.ksu.edu/hr/human.resource.units/hris_manuals.html

Classified Staff December 14, 2007 Bonus Reminder
The Legislature approved a one-time bonus in the amount of $860 for each eligible full-time classified employee. Those working less than full-time are to receive a pro-rated portion of the bonus. This bonus amount will be included with the employee’s regular paycheck dated December 14, 2007. Classified employees (excluding temporary employees) are eligible for the bonus provided their most recent performance review rating is at least “Meets Expectations.”

New probationary employees with a hire date prior to November 18, 2007 will also be eligible to receive this bonus provided their department submits a special performance review to the Division of Human Resources with a rating of at least “Meets Expectations.” The Employee Performance Review Form (PER-47), with the rating box checked and appropriate signatures included, must be submitted to HR for probationary employees by Friday, November 9, 2007. Supervisors may include notes indicating the rating is being provided solely for the purpose of eligibility for the December 14, 2007 bonus. This action will not change the end of probation date for the employee. Supervisors will be required to complete a performance review at the end of the employee’s probation period.

KanElect Flexible Spending Account – Health Care
The Kansas Health Policy Authority has recently advised that the 2007 KanElect Health Care Flexible Spending Account has a “grace period.”  The 2007 plan is extended until February 29, 2008 for qualifying medical expenses occurring during the period January 1, 2007 through February 29, 2008.  Participants have until April 15, 2008 to submit claims for services occurring between January 1, 2007 through February 29, 2008.

Please note that the “grace period” is only for the Health Care component of the KanElect Flexible Spending Account.  There is no “grace period” for the Dependent Care component.

Reminder – 2007 Discretionary Day
The last day an employee may use their 2007 Discretionary Day is Saturday, December 29, 2007.  Please remind any eligible employees in your department who have not used their 2007 Discretionary Day.  The 2008 Discretionary Day may be used any day from December 30, 2007 through December 27, 2008.

Visiting Scholars
If a department would like to bring a visiting international scholar to KSU, you should begin the paperwork at least three months prior to the scholar’s anticipated arrival.  The department should contact the International Student Center, Affirmative Action, and Human Resources for assistance.  All visiting scholars (professors, scientists, researchers, etc.) should be paid through payroll.  Questions should be addressed to Julie Henton at the Division of Human Resources at (785) 532-6277.
