Completing the I-9 for Rehires
This is a reminder regarding rehires that have a break in employment/service of more than 30 days. Section 3 - Updating and Reverification, of the Form I-9 must be completed when an employee is rehired and there has been a break in service of more than 30 days and the current I-9 is less than three years old. When a break has occurred and the I-9 is more than three years old, a new I-9 must be completed.

These guidelines are established by the U.S Citizenship and Immigration Services. For more information on completing the I-9, please refer to Instructions for Completing I-9 located on the HR web site or contact your HR liaison at (785) 532-6277.

Position Data Changes
When a position is established in HRIS, certain criteria are associated with that position that should never be changed. Regular (budgeted) positions may not be changed to temporary (non-budgeted) positions and vice versa. As an alternative, a new position would be established. In addition, once a position is established as classified, unclassified or student, it must remain that type of position.

The guidelines for establishing or updating positions are located in the classified, unclassified, hourly and graduate student PPM chapters. Please refer to the applicable chapter for more information or contact your HR liaison at (785) 532-6277.

Tax Clearance Information Form
New classified and unclassified employees should now be completing the “State of Kansas Tax Clearance Information Form for Candidates and New Hires.” This form should be submitted to Human Resources along with the other required documents for new employees.

When submitting the tax clearance form to HR without other attachments, please print the employee’s name at the top of the form. Our office has received several of these forms with signatures that are not legible and it is difficult to identify the employee.

At the bottom of the tax form, there is a signature line that reads “Human Resource Office.” This line may be signed by the department personnel specialist and does not need to be signed by personnel in Human Resources; however, our office personnel will sign when submitted blank.
