Hiring Employees via Faxed Forms

Human Resources payroll staff hires employees via original transaction documents only (original appointment forms, I-9's, etc.). We cannot accept faxed documents as a way of expediting a hire in HRIS. Faxed documents are often difficult to read and incomplete. We will only accept faxed appointment transactions for exceptional circumstances (i.e., lost documents). Thank you for your understanding. When an urgent circumstance arises, please hand deliver documents to our office and ask to speak to your HR liaison.

Just a friendly reminder, department personnel specialists are responsible for updating the following information on or before October 1, 2009.

  • Contract Data
  • Education Data
  • Unclassified Data (i.e., tenure status/date, teaching and faculty senate standing)

New HRIS Report - Emergency Contacts

This report provides a list of emergency contacts for those individuals who have completed this information via Employee Self Service. This report displays the employee's name, department, and a list of those designated as emergency contacts including their relationship to the employee and their phone numbers.

Important H1N1 Survey Information

The flu is here. There have been a number of H1N1 or Influenza like Illness (ILI) reported in students as well as faculty and staff. Because of this, the Division of Public Safety is initiating data collection of flu incidents. The Office of Student Life is already compiling this data for students.

In this regard, all employees are reminded that if they have the flu, they should not come to work. They should stay at home, consult with their physician if they feel the need, and not return to work until their fever is below 100 F for 24 hours without the use of fever-reducing medications. It does not matter if it is H1N1 or some other influenza variant. If you have the flu properly report to your supervisor that you are home sick with the flu. Supervisors are asked to report your incidence of flu to the department personnel specialist.

Department personnel specialists are required to complete the on-line flu survey when they report the hours worked and/or leave used in HRIS. The survey must be completed whether your department has employees out with the flu or not. All data compiled will be general and not connected personally to the employee. A link to the survey will be sent out at the end of each pay period for completion by department personnel specialists or those staff members who enter time and leave in your department.

Revised Pre-Search Procedures for Unclassified Professional Positions

The Division of Human Resources and Office of Affirmative Action have revised pre-search procedures for unclassified professional positions to ensure that K-State complies with state and federal regulations. These regulations require K-State to assign an official and appropriate job title to each position and determine the FLSA overtime exempt or non-exempt status of each position. Please refer to:

The Division of Human Resources and Office of Affirmative Action will hold information sessions to discuss the procedures and answer questions in the near future. The highlights of these changes include:

  • The Budget Office will create all new unclassified positions, both regular and temporary (excluding student positions).
  • Positions must be created in HRIS prior to submission of the recruitment documents and the position description.
  • The Unclassified Position Description form (PER-23) (pdf) has been revised to better describe the position.
  • The Appendix 11, Unclassified Appointment Record, footnotes have been revised to require an hourly rate for positions that are overtime non-exempt
