Mid-Year Performance Discussions Reminder

If you haven't already done so, it is time to have a Mid-Year Discussion with your employees as required by the Performance Management Process. This discussion is a face-to-face meeting between the supervisor and employee to discuss progress on objectives and performance levels on the competencies identified during the Performance Planning process. This meeting should be documented on the Performance Management Process form and the supervisor and employee sign and date the Mid-Year Discussion signature block. No paperwork needs to be submitted to Human Resources regarding this meeting.

Form I-9s Not Always Complete for Foreign Nationals

Please review I-9s for completeness prior to forwarding them to HR. Samples representing the most common Form I-9 scenarios for a foreign national as well as a U.S. citizen employee and detailed instructions can be found at Also refer to the new Hot Topic for Personnel Specialists, I-9 Central-Everything You Ever Wanted to Know About I-9's on the Division of Human Resources' web page. Verify/Update Contract Data in HRIS

Again this year, the contract data pages in HRIS have been automatically updated for active unclassified employees who had a previous contract. A new row has been inserted for fiscal year 2012 for probationary, regular, term and tenured contracts based on the employee's month basis. The only on-line entry required by department personnel specialists are corrections to the existing data (i.e., contract type and/or dates). Please verify/update all contract information in HRIS by September 1, 2011.

An additional contract will need to be added later in the year if a contract is updated due to a change (i.e., job title, FTE, salary change, etc.). It is important to add an additional contract within 20 days of the contract begin date.

When a contract is modified, submit a paper transaction form . . . normally the Change or Separation Form (PER-39) (pdf), to the Division of Human Resources and attach a copy of the updated contract.

Note: The Division of Human Resources will continue to enter contract data for new K-State employees. Please attach a copy of the contract to the personnel transaction form.
