Employee Self Service Coming August 2003
Joint efforts contributed by
the Division of Human Resources, the Information Systems Office and Computing
and Network Services will allow all K-State employees to have on-line access beginning
next month to view and update personal information via the web. Employee Self Service will allow K-State
employees to view their paycheck data, leave balances and training summary. It will also allow employees to view and/or
update their W-4 tax information.
Employee Self Service may be
accessed like any other web page that requires a browser. Microsoft Internet Explorer is the preferred
browser; however, Netscape Navigator/ Communicator may be used to access the
Employee Self Service module.
Employee Self Service will be
showcased in August. Employees will be
notified of demonstrations of the self service module and will have the
opportunity to gain hands-on experience with signing on and viewing/updating
their personal information.
An official announcement will be published when self-service becomes available.

Basic and Optional Group
Life Insurance
The Kansas Public Employees
Retirement System (KPERS) has contracted with Minnesota Life Insurance Company
for basic and optional group life insurance coverage, effective July 1, 2003.
New booklets will be mailed
to you in the near future. The booklets
contain an enrollment form. New hires
have 30 days from their hire date to enroll for optional group life insurance
coverage. The enrollment form is to be
returned to the Division of Human Resources within 28 days to ensure
postmarking to Minnesota Life Insurance Company within the 30 day window.
Rates, by age group, have
changed. Along with the rate change,
there is also a change to the age calculation for purposes of the optional
group life insurance plan. Currently,
age is calculated based on the employee's attained age as of the payroll period
in which it occurs. Effective with the
new rates, age will be calculated based on the employee's attained age as of
January 1st of the current calendar year. The new rates are effective with coverage
beginning the month of July. Please see Human Resources Circular 03-01,
dated June 20, 2003, for a complete list of rates.
Premiums will continue to be
collected by payroll deduction from the second paycheck each month.
Life insurance benefits and
plan provisions will remain the same, with the following exception: Minnesota Life Insurance Company provides an
accelerated death benefit. A separate
addendum sheet was mailed to all eligible employees outlining this new feature.
Please begin using the new
Minnesota Life Insurance Company enrollment forms immediately upon
receipt. Destroy any optional group life
insurance forms from Security Benefit Life Insurance Company. These old enrollment forms will not be
honored.

Contract Data Updates
Due
to University reporting needs, department personnel specialists need to begin
updating contract information in HRIS.
The deadline for on-line entry is July 31 for fiscal year (12-month)
contracts and August 31 for academic year (9-month) contracts.
At
the beginning of each new fiscal year, the Contract Data pages in HRIS are
automatically updated for regular unclassified employees. A new row will
be added soon for fiscal year 2004 based on the months basis for these
employees.
The only on-line entry
required by department personnel specialists will be for those individuals
whose contract type has changed from FY 2003 to FY 2004 and for those
individuals with term contracts. And,
any time throughout the year, when a contract is renewed or changed, on-line
entry is required within 20 days from the contract begin date. To
update contract information, refer to the step-by-step instructions found

The Division of Human
Resources continues to require a copy of the contract for the employee's
personnel file. In addition, if the
employee's job title, compensation rate, etc. is changing a personnel transaction
form is required … normally the Change or Separation Form (PER-39).

title, course code, and course session number.

The department table for
fiscal year 2004 has been updated. The
updated table is available in Microsoft Excel and PDF format. There are two versions available … one is
sorted by department ID and the other one is sorted alphabetical by department

Classified Employee Revised Pay Plan
Effective July 20, 2003, all
classified employees will receive a 1 ½% cost of living pay increase as
provided by the 2003 Kansas Legislature.
The revised Kansas Civil Service Basic Pay Plan is available on the
Department of Administration web site at http://da.state.ks.us/ps/subject/payplan.htm. These changes will be automatic and will be
reflected in paychecks received on and after August 15, 2003. As you hire new employees effective July 20,
2003 and later, please be sure to use the new rate of pay on the appointment
form.
