Arrival/ Departure Form I-94 Automation Process Reminder

At the end of April, Customs and Border Protection (CBP) announced that it would automate the I-94 arrival/departure record. With the automated I-94, an electronic I-94 record is created when a student/scholar arrives at the port of entry in the U.S. The student/scholar will receive an admission stamp in his/her passport, which will reflect the class of admission (such as F-1, J-1, H-1B), the date of admission and the admit-to date or D/S. A paper I-94 will no longer be issued.

At the ports of entry a handout will be distributed to notify students/scholars about the change and provide information about the I-94 website. Students and Scholars will be directed to this website to print out a hard copy of the I-94. You will need the hard copy of the I-94 in order to complete the I-9.

Verification/Updates in HRIS

Verification and/or Updates in HRIS: Academic Rank, Contract Data and Unclassified Data (Tenure and Faculty Senate Status)

It is a good practice to update academic rank, contract data and unclassified data (tenure and faculty senate status) when changes occur. Every year for major administrative fiscal year reports, data needs to be verified and/or updated by October 1.

Secure IT Training for all Employees is Required by December 31, 2013

State of Kansas policy requires that all state employees receive annual training in IT security each year (http://da.ks.gov/kito/itec/Policies/ITECITPolicy7400.htm). The office of Information Security and Compliance has released a self-paced, online security awareness and training module. Secure IT introduces basic computer security concepts and good security practices and takes approximately 20 minutes to complete. All K-State faculty, staff and student employees are required to complete annual security awareness training.

To access the training:

  1. Go to www.ksu.edu/its/security.
  2. On the left-hand menu, click Security Training.
  3. Sign in with your eID and password.
  4. Click 2013 IT Security Awareness Training.
  5. Click Start.

Once the online security training is completed, the personnel record in HRIS is updated. It is listed as course "Secure IT Baseline 2013" with course code WIT008 on the "Training Summary" in "Learning and Development" in HRIS.

Personnel Specialists may run the report "EE's Who Need Course" to determine those in departments who still need to complete the course. The path in HRIS is: Enterprise Learning, Reports, EE's Who Need Course. When running the report, use the start dates of 01/04/2013 through the current date. The training records of employees who take the course online are updated immediately.
