Fiscal Year End – Transfer of Payrolls – Deadline Approaching
Fiscal Year 2006 will be upon us in no time. As you are all aware, FRS will be replaced by the new Financial Information System (FIS) at the start of the 2006 fiscal year. The new financial information system, with a new chart of accounts, will also affect HRIS.

It is to each department’s advantage to balance FRS payroll accounts and do necessary transfers of payrolls before the end of fiscal year 2005. We are requesting that all departments balance their FRS payroll accounts and submit any transfer of payrolls to Human Resources by June 10, 2005. We encourage departments to run the WPOS101 report bi-weekly, prior to pay calc, to verify position funding. This is one method that can help alleviate a transfer of payroll. After fiscal year 2006 begins, payroll transfers for prior fiscal years will be more difficult due to the conversion of FRS accounts to project numbers in FIS.

The absolute final day to submit transfer of payrolls to Human Resources for fiscal year 2005 is June 10, 2005. It is imperative that we have these submitted and fed to FRS by mid June. We anticipate not being able to do transfers during July and perhaps longer.

Additional Personnel Transaction Forms
In order to show the new funding format that will be implemented with the new Financial Information System (FIS) beginning with FY 2006; we have developed an additional version of certain personnel transaction forms.  Personnel transaction forms, PER 38-Appointment Form, PER 40-Hourly Student Data Sheet,  PER 41-Graduate Student Appointment Form, PER 45-9-month Summer Transactions,  the Additional Pay form and the Additional Pay Checklist #2 have been revised to show this new funding format.   The original forms are to be completed for any transactions processed in FY 2005, with an effective date prior to June 5, 2005.  The new versions of these forms are to be completed for any transactions processed with an effective date of June 5, 2005 or greater (FY 2006).  Both versions will be accessible on our forms page at: http://www.ksu.edu/hr/forms until the end of the first pay period in FY 2006.  Questions regarding these forms should be referred to your Human Resources, Payroll & Employee Data liaison, at (785) 532-6277.

GTA/GRA Employer Premium – Summer 2005 Semester
As you hire or reappoint graduate teaching assistants and/or graduate research assistants for the Summer 2005 semester please advise each student about the available GTA/GRA health insurance plan.  Persons appointed at least .5 FTE for the summer as a graduate teaching assistant or graduate research assistant are eligible to participate in the health insurance plan.  The coverage period will be June 1, 2005 through July 31, 2005.  The open enrollment period will be June 1, 2005 through June 30, 2005.

Graduate teaching assistants or graduate research assistants who receive a “renewal premium notice” from Student Resources are to return it, along with the summer semester premium payment, directly to the Division of Human Resources by close of business on June 30, 2005.

A brochure describing the plan provisions and an enrollment form (including premium rates) are available from the Division of Human Resources  web site at: www.ksu.edu/hr/benefits/gta.html, or at 103 Edwards Hall.

NOTE:  Please remind anyone enrolling for the GTA/GRA health insurance plan that there will be a slight delay in transmitting the premium payment and enrollment form to Student Resources inasmuch as the Division of Human Resources is required to verify their appointment and participation eligibility prior to sending the documents to Student Resources.
