To prepare for the HRIS/Employee Self Service Upgrade in March, please ensure the workstations within your department meet the necessary browser requirements for those using HRIS/Employee Self Service. Department personnel specialists have VIEW access to the Department Table in HRIS. This access has been provided to ensure the Manager Position and KEAS Access Position(s) located within this table are current. The Manager Position identifies the unit head and is now being used by the Conflict of Interest Form Routing Process and the KEAS Access Position(s) are being used to designate employees/positions who have access to grant e-mail privileges and who receive a copy of the Welcome to K-State e-mail message for new employees.

The State Employee Health Plan is conducting an audit of dependent eligibility for health insurance. As a state agency, we are part of that audit and must provide documentation for dependents of employees whose records were not required at the time of health insurance activation or whose documentation was selected for verification. Proof of dependent eligibility has only been required within the past 4-5 years.
We have sent each employee a letter requesting specific documentation on dependents. Should you receive questions, you can help by reiterating both the importance of compliance and that the specific request for documentation on one or more of their dependents is required. Some employees who have multiple dependents covered by health insurance may be asked to provide only one of the family member.s documentation, or for documentation the employee believes was previously submitted, or both. Whatever the circumstance may be, what was requested is needed to send to the Kansas Department of Health and Environment (KDHE). We have previously submitted copies of all documentation we have on file.
The deadline for employees to submit documentation to Human Resources is March 15, 2012; we will provide these documents to KDHE shortly after that.
