January 30 Paycheck
January 30, 2004 is the payday in which we receive a third paycheck in the month of January.  Premiums for group health insurance, KPERS Optional Group Life Insurance, TEA life insurance and contributions to the KanElect flexible spending accounts will not be deducted from this third paycheck. Additionally, 12-month unclassified employees do not earn an 8 hour vacation day for the pay period January 4 through January 17, paid January 30, 2004.

KanElect Reminder
Please remind your department employees who participated in the KanElect program in 2003 that they have until March 31, 2004 to submit claims for any services occurring between January 1, 2003 and December 31, 2003. Claim forms are available at the following web site: http://www.asiflex.com/claim.pdf.

On-Line Leave Request Forms
Human Resources has developed and implemented on-line leave request forms for both FLSA exempt and non-exempt employees. These forms are available on the HR Forms web page at: http://www.ksu.edu/hr/forms/. The forms are entitled Leave Request-Hourly (Non-Exempt) Employees and Leave Request-Salaried (Exempt) Faculty and Staff and instructions are provided for each form. You are encouraged to adopt the use of this new process within your department. When the current supply of the “Faculty Leave Report” small forms are depleted, they will no longer be made available at the KSU Office Supplies Store.

HRIS provides several report distribution options. The preferred set up is to run, view and print reports via the Web. Recent modifications have made the e-mail option available again. The Email/PDF option may be selected if you want to send a small report to someone who has an electronic mail address. Instructions: http://www.ksu.edu/hr/hris/Report_Distribution.pdf

Position is Important Key in HRIS
Hiring an employee in the correct position is CRITICAL because HRIS (Human Resource Information System) is driven by position. The position is the KEY to providing information to functions within HRIS and is the KEY to providing information for the University community. The position defines essential information that is used to process time and leave, payroll, budget data, management reporting, salary surveys, etc.

NEW FORM- Mid Year Base Salary Increase, PER-46
A new form has been added to the HR Forms web page. This form is the PER-46, Mid Year Base Salary Increase form. It will be used for all regular faculty and unclassified professional employees only.

Departments should begin using the PER-46 when giving a salary increase to regular faculty and/or unclassified professionals any time throughout the year other than the normal contract renewal period. A copy of the new contract must accompany the completed form when submitted to HR. The PER-46 is not to be used for giving increases during the normal budget cycle - those procedures have not changed.

The Mid Year Salary Increase form was created by the Provost’s Office and the Division of Human Resources in an effort to adequately track these expenditures. Departments should begin using this form for salary increases effective immediately. Please refer to Provost Jim Coffman’s December 15, 2003 memo to deans and department heads regarding “Midyear Salary Increases and Salary Overloads” for additional information.
