The KEAS (K-State Enterprise Authentication System) project implemented a university-wide authentication management system - a central computing authentication system. As a result, a single K-State eID "electronic ID" and password now provides access to all the resources for which an individual has been authorized to use. Those resources/systems include:
All new K-State faculty, staff, and students will need to self-register to acquire an eID. This eID is required and will need to be included on the appointment form to complete the hire process. To self-register, new K-Staters will access the following Web site and follow the registration instructions: http://eid.k-state.edu
Granting Privileges is the same as granting temporary authentication, faculty/staff privileges for 30 days. Only designated department personnel will have privileged account access to grant privileges. After the prospective employee has created a K-State eID, designated department personnel will need to access the eProfile page at https://eid.k-state.edu/support/ to grant the prospective employee a temporary authentication for temporary faculty/staff privileges.
The privilege will remain temporary until there is a match to HRIS (Human Recourse Information System). When the employee is hired in HRIS, the match will occur. The temporary privilege becomes a permanent authentication to authorized resources.
When authentication becomes permanent, data received from HRIS will determine the classification of the individual and the privileges they own. Ex: Privileges will change when an individual retirees or leaves the University.
Not Hired Within 30 Days - To Continue Privileges . . .
If the individual with temporary faculty/staff privileges is not hired within 30 days, the individual will receive an e-mail at their K-State email address. This e-mail will indicate in advance that they will lose faculty/staff privileges unless they take steps to formalize their continued relationship with K-State. At that time they should contact their personnel specialists to resolve any conflicts in their status with the University or to extend privileges.
If after 30 days, privileges need to be extended, the department personnel office will grant privileges again after initial grant expires.
If the individual with temporary faculty/staff privileges is not hired within 30 days, the eID will still remain theirs for five years. They will simply lose faculty/staff privileges unless they formalize their continued relationship with K-State. After five years of inactivity, an eID will be reused.
The Special Access Form is no longer used to extend short term privileges. See the Types of Special Access Accounts in the Eligibility section of PPM Chapter 3450.030 K-State eID Policy for circumstances warranting the special access.
