Band/Classy cat camp conflicts
Each year the Greek Affairs staff works with Dr. Tracz, the director of bands, and his team to accommodate women wishing to do both band/Classy Cats camp and Sorority Formal Membership Recruitment. The Greek Affairs staff has spoken with Dr. Tracz and the follow should be taken into consideration by students attending both programs:
- Recruitment round 1: Monday, August 17 and Tuesday, August 18 – There will be no conflicts in the mandatory band/Classy Cats and Sorority Formal Membership Recruitment schedules. There will be a mandatory meeting for band/Classy Cats on Tuesday at 11:00 a.m. however breaks in the recruitment schedule will allow for this.
- Recruitment round 2: Wednesday, August 19 – Band/Classy Cats participants will be required to attend the evening band rehearsal beginning at 6:30 p.m. This will only be a conflict for women attending the maximum number of events (eight chapter visits), who will have to miss the last event of the day. For these women attending all eight events, the chapter will be informed of the absence and the student will be expected to attend the mandatory band/Classy Cat meeting. It is at the discretion of the hosting chapter to “excuse” the student or not. A student attending all eight events will not be able to pick which chapter is selected for the 7:00 p.m. event (the missed event) as schedules are randomly assigned; however a student attending 7 or less events can be ensured to have an open time slot for the 7:00 p.m. event. These students will not be schedule to attend events hosted at 8:00 or 9:00 p.m.
- Recruitment round 3: Thursday, August 20 – Band/Classy Cats participants will be required to attend the evening band rehearsal beginning at 1:30 p.m. Again this will mean participants will be able to attend all morning recruitment events, however will not be able to attend afternoon events. This will only be a conflict for women attending the maximum number of events (five chapter visits). For these women attending all five events, the chapter will be informed of the absence and the student will be expected to attend the mandatory band/Classy Cat meeting. It is at the discretion of the hosting chapter to “excuse” the student or not. A student attending all five events will not be able to pick which chapter is selected for the 2:00 p.m. event (the missed event) as schedules are randomly assigned; however a student attending 4 or less events can be ensured to have an open time slot for the 2:00 p.m. event. These students will not be schedule to attend events hosted at 3:00 or 4:00 p.m. It is expected that recruitment participants who's recruitment schedule allows them to be free in the morning do attend as much of the 8:30 a.m. to 12:00 noon rehearsal as they can.
- Recruitment round 4: Friday, August 21 – Four events are planned for this date and are perhaps the most important events of the recruitment week. Events are planned at 8:30 a.m., 9:45 a.m., 11:00 a.m., and 1:30 p.m., each lasting an hour. Women will be invited to attend a maximum of 3 events. Women attending band/Classy Cat camp will be scheduled for the 8:30 a.m., 9:45 a.m. and 11 a.m. events meaning they will be finished by noon at the latest. Should they be invited to attend one or two events, they will be finished earlier. Women invited to attend three events will need to work with Dr. Tracz’s staff to seek approval to be late to morning rehearsal. (No grantees can be made that students will be approved to be tardy or to miss the morning portion of the camps.) Participants may choose not to attend the morning recruitment events, knowing this decision may have an effect on their chances of receiving an invitation to join the chapter whose event is missed.
- Invitations will be distributed Friday night at 8:30pm. According to the band/Classy Cats schedule, rehearsal concludes at 9:30pm. The Assistant Director of Greek Affairs will personally meet women attending band/Classy Cats campus at the conclusion of their rehearsal to deliver membership invitations.
- Bid Day: Saturday, August 22 - No conflicts are presented by the Sorority Formal Membership Recruitment schedule on Saturday, however this portion of the schedule is developed by the individual chapter. Chapter are encouraged to release women attending band/Classy Cats camp as needed on Saturday. In previous years there have been no conflicts to allowing for these provisions.
All women attending both band/Classy Cats camp and Panhellenic Sorority Formal Membership Recruitment should understand they will have an extremely busy week. In 2008 over 15 women successfully completed both programs. It can be done, but each student must own the situation and be respectful and responsible for expectations established by both the Panhellenic Council/Greek Affairs staff and band/Classy Cats leadership. Leaders of both programs have schedules for the congruent camp and understand the schedules and expectations of their peer program.
The same refund policy exists for women attending both band/Classy Cats camp and Sorority Formal Membership Recruitment. No refunds of the registration fee are allowed after August 1, regardless of situation.
All women attending both band/Classy Cats camp and Sorority Formal Membership Recruitment should inform both the band/Classy Cats staff and Panhellenic Council/Greek Affairs staff no later than August 1, 2009, to allow time for special provisions to be made.
Cheerleading Camp conflicts
The Greek Affairs staff works with Coach Ruoff, the Cheerleading Coach, to accommodate women wishing to take part in both Cheerleading camp and Sorority Formal Membership Recruitment. The Greek Affairs staff has spoken with Coach Ruoff and the follow should be taken into consideration by students attending both programs:
All women taking part in cheerleading camp are expected to be in attendance at camp activities during the daytime hours of August 16, 17, and 18.
Women taking part in recruitment will be responsible for making plans to move into their residence hall room outside of cheerleading camp and recruitment obligations. The Residence Halls open at 2:00 p.m. on Sunday, August 16 – it is therefore advised participants in both cheerleading camp and recruitment move into their assigned residence hall room following camps obligations on Sunday, August 16. Cheerleading camp activities on Sunday will conclude at approximately 5:00 p.m.
All recruitment participants are expected to be in attendance at Sunday evening’s recruitment orientation meetings (Convocation I) which begins at 7:45 p.m. and concludes after 10:00 p.m.
It is understood that cheerleading camp attendees will have to miss all Round 1 recruitment events (Monday, August 17 and Tuesday, August 18 events) due to obligations with cheerleading camp. Only during Round 1 is a recruitment participant invited to all 11 chapters. Not attending Round 1 events may affect the chances of a participant being invited back to a chapter for Round 2 events. All sorority chapters will be informed of the names of students taking part in cheerleading camp and asked that they consider offering an invitation to Round 2 regardless of their absence at Round 1 events. Invitations are offered at the discretion of the sorority chapter.
Cheerleading participants will not be excused from Round 2, 3 and 4 recruitment events having been granted permission to attend by Coach Ruoff. Participants should inform Coach Ruoff of their schedule each day, to ensure she is aware of conflicting engagements.
