THE CONSTITUTION OF THE COLOMBIAN STUDENT ASSOCIATION OF

KANSAS STATE UNIVERSITY

 

Name and Purpose

 

ARTICLE 1:  This organization shall be known as “THE COLOMBIAN ASSOCIATION OF KANSAS STATE UNIVERSITY”.

 

ARTICLE 2: The Colombian Association of KSU exists to:

·        Serve all members and Colombian people of the community.

·        Assist new Colombian students when they arrive in KSU.

·        Provide a fraternal environment among its members.

·        Encourage the members to keep alive their cultural expressions sharing them with the community.

 

Membership

 

ARTICLE 3: Colombians and all of those who want to know about Colombian culture as well as to share our interests can be consider members.

 

Officers 

 

ARTICLE 4: The executive committee of this organization shall be:

 

·        President.

·        Treasurer.

·        Secretary.

 

ARTICLE 5: The executive committee shall be elected during a general meeting and for a term of one year. (The general meeting is defined in the ARTICLE 8)

 

ARTICLE 6: Duties of the executive committee.

 

1. President

  • Preside at organization meetings.
  • Facilitate executive committee meetings.
  • Be aware of all money matters.
  • Assist all officers.
  • Provide motivation for the organization.
  • Prepare for all meetings.
  • Be open to all opinions and input.
  • Provide follow-up to organizational tasks.
  • Inform the executive committee of other meeting information.
  • Coordinate the executive committee transition.

 

 

 

2. Treasurer

  • Prepare organizational budget
  • Prepare budget or supply requests
  • Audit books twice per term with advisor
  • Maintain a financial history of the organization
  • Inform executive committee of all financial personnel matters
  • Coordinate solicitations/fund-raisers
  • Make quarterly reports of all receipts and disbursements
  • Perform other duties as directed by the president.

 

3. Secretary

  • Record and maintain minutes of all organization meetings
  • Send minutes to all appropriate members and institutional staff
  • Prepare an agenda with the president for all meetings
  • Maintain attendance at all meetings
  • Keep the organization informed
  • Maintain a calendar of events
  • Maintain a phone and e-mail directory of all members
  • Reserve meeting rooms for the term and year

·        Perform other duties as assigned by the president

 

 

Dues

 

ARTICLE 7: All members shall pay dues as determined by the executive committee with the consent of general meeting (the general meeting is defined in the ARTICLE 8).

 

Meetings

 

ARTICLE 8: The general meeting includes all the members. This meeting shall be held once during the spring semester. The executive committee shall be responsible to call such a meeting.

 

ARTICLE 9: The executive committee shall call a special general meeting when they consider the meeting is necessary.

 

ARTICLE 10: The required quorum for the general meeting to be legal is the 51% of the total number of members at the first call. If this quorum is not reached at the first call, the executive committee shall call a second general meeting, whose required quorum shall be the 10% of the total members.

 

Amendment of Constitution

 

ARTICLE 11: The amendment of the constitution can be submitted to the general meeting for reconsideration. The amendment must have the approval of the general meeting by more than two thirds of the attending members.
