Kara Ross asks:What is the difference between the deadlines for commencement and the deadlines for graduating?

Angie Pfizenmaier If you are planning to attend commencement, there are certain deadlines that you must meet. To attend commencement, you must complete the online commencement registration link by May 4, 2010. All master students and doctorate students must complete this registration if wanting to attend. If you are a doctorate OR Master of Fine Arts candidate, you must have all requirements met, including the final submission of your ETDR by May 4, 2010. Please be certain to order/reserve your proper regalia at the K-State Bookstore or Varneys also. If you are not concerned about attending commencement, all requirements must be met by May 10, 2010 in order to graduate May 2010. This includes all candidates wanting to graduate May 2010.

Kara Ross asks:What materials need to be submitted if I am planning to graduate May 2010?

Angie Pfizenmaier An Approval to Schedule Final Examination form must be submitted to the Graduate School at least 10 working days in advance of the examination scheduled. If you are completing an ETDR, for master students please include a title page and abstract page. If you are a doctorate student, please include an abstract title page and abstract. The Approval to Schedule Final Examination form places you on a list of potential graduates. The online diploma information form should also be completed. This is located at; https://www.ksu.edu/grad/forms/sec/diploma.html

Amber Tyler asks:Do you have to defend you thesis before May graduation in order to walk in May?

Angie Pfizenmaier If you are a master student, you do not have to have your final defense before May commencement. You do have to have an Approval to Schedule Final Examination form submitted to the Graduate School prior to commencement and complete the online commencement registration. The online commencement registration and information is sent to you once the Approval to Schedule Final Examination is submitted to the Graduate School. All requirements for master students are to be met by May 10, 2010.

Lindsay French asks:If I have 4 hours left to take this summer to complete my MS in Curriculum and Instruction- can I walk in May ceremony since there is not summer ceremony for graduation?

Angie Pfizenmaier As a master student, completing requirements during the summer, you would need to visit with your major professor. If your major professor approves of you participating in commencement, a special request would need to be made by your major professor to the Dean of the Graduate School.

Reza Nabi asks:Hello! I am MSE student (Off campus). I would like to join this may commencement schedule on May 14th. I had communication with my major professor and the committee on April 06th to finalize my final exam which is May 4th, 2010. I am not sure if any formal document has been submitted to the graduate school or not. At this point, am I elligible to join the May commencement? I am distance learning student and any kind favor you can offer would be greatly appreciated.

Angie Pfizenmaier To find if your Approval to Schedule Final Examination form has been submitted please contact the Graduate School and ask to speak to Lori Grelk. In order to participate in commencement, once the Approval to Schedule Final Examination form is submitted, you will receive an email. This email will contain commencement information, including an online registration link and regalia ordering information. The online commencement registration link must be completed in order to attend.

Amber Tyler asks:What all needs to be reserved at Varney's for May commencement and what is the deadline for reserving or ordering whatever is needed?

Angie Pfizenmaier I am not certain of the exact date for the regalia deadline. If you would contact me tomorrow I would be more than happy to find this information for you. You will need to reserve a cap, tassel, gown and hood through the K-State Student Union Book Store or Varneys (785-532-6583, 1-800-578-2287, or email Carolyn Rose at crose@kssubookstore.com). Doctoral students may rent or purchase their regalia. Master's students must purchase their regalia. The graduation site can be viewed at www.kssubookstore.com or www.varneys.com. Click on “Graduation” at the top right of the page, go to ”K-State Manhattan“ and click. There will be a photo of gowns and announcements. There is a box at the base of the photos that says "Click here to order". You can then scroll down through the selections and determine what you need. There will be a late fee for orders placed after the K-State Student Union deadline. PLEASE NOTE: Master’s and doctoral caps and gowns differ from bachelor’s caps and gowns.

Luis Carranco asks:Hi, I have a question regarding Diplomas for international students. We usually go back to our country after 15 days of graduate. What happen with the diplomas. How soon are we going to be able to get them and how (by mail/ in person)? Also, we would like to apostille the diploma so it can be recognized in our countries. Can you help us with that paper work?

Angie Pfizenmaier Diplomas are normally mailed 6-8 weeks after the date of graduation. The Graduate School will mail the diploma to the address listed on the Online Diploma Information form. This form can be found at; https://www.ksu.edu/grad/forms/sec/diploma.htmlIf you are concerned about how your name is listed on your diploma due to accent marks please come by the Graduate School, 103 Fairchild Hall. If you are a master student ask to speak to Lori Grelk and if you are a doctorate student, speak to Angie Pfizenmaier.

Lindsay French asks:Can you walk in the May ceremony for graduation even if you will take summer classes to finish the program?

Angie Pfizenmaier Please call the Graduate School at 785-532-6191. Master students may ask for Lori Grelk and doctorate students may ask for Angie Pfizenmaier.

Marilyn Masterson asks:If not attending commencement, then we do not have to have dissertation defended until May 10?

Angie Pfizenmaier As a doctoral student not attending commencement you must have all requirements met by May 10 in order to graduate May 2010.

Kristen Walker asks:If I would not be receiving my diploma in August but however, would like to walk in the May commencement, what steps and or guidelines do I need to fulfill?

Angie Pfizenmaier If you plan to graduate August 2010, and are a doctorate student, you will have to participate in December 2010 commencement as all requirements must be met before participating in commencement. If you are a master student, but want to walk at commencement May 2010, you would need to first visit with your major professor. If your major professor approves of you doing this, a special request would need to be made by your major professor to the Dean of the Graduate School.

Kejia Li asks:How to register online to participate in commencement? I have submited Approval to Schedule Final Examination form to the Graduate School. Thanks.

Angie Pfizenmaier You should receive an email regarding registering for commencement within a couple days of submitting the Approval to Schedule Final Examination. If you do not receive this email, please contact the Graduate School so that the email can be sent again.

Marilyn Masterson asks:One can walk and participate in commencement even thought their name isn't in the commencement program - right? (The deadline was sooner than we thought and dissertation will not be done until next week and to the committee.)

Angie Pfizenmaier You are correct. If you were not able to meet the deadline of April 6, you can still walk at commencement as long as the other requirements as a doctorate student are met.

Diego Farfan asks:Do you have information for individual students? I would like to know the status of my "Approval to Schedule Final Examination Form".

Angie Pfizenmaier I apologize but at this time I am not able to look at individual records. If you are a master student please contact the Graduate School between 8:00AM - 5:00PM and ask for Lori Grelk. If you are a doctoral student, please contact the Graduate School between 8:00 - 4:00PM.

Reza Nabi asks:I along with my committe finalize the fnial examination date on May 4th. But i am not sure if the formal application to schedule final exam is submitted to graduate school. My quesiton is: how strict is the April 6th dead line? I am a distance learning graduate student and I would love to be part of the commencement.

Angie Pfizenmaier The April 6th deadline was to have your Approval to Schedule Final Examination form submitted to the Graduate School to be listed in the commencement program. Even if you are not listed in the commencement program, as long as the Approval form has been submitted and you have completed the online commencement registration, you may attend commencement. There will be individuals that are listed in the program that are not walking at commencement and vice versa. This is assuming you are a master student.

Brian Bookwalter asks:I am a Master of Fine Arts candidate. Do I need to submit my thesis to the Graduate School electronically?

Angie Pfizenmaier As a Master of Fine Arts candidate, in order to attend commencement, you must have all requirements completed by May 4. This would include the submission of your final ETDR. If you are not participating in commencement, your final ETDR would need to be submitted to the Graduate School by May 10 in order to graduate May 2010.

Carol Shanklin You can call 785-532-6191. If you are a masters student ask for Ms. Lori Grelk. If you are a doctoral student and a graduate student in the College of Architecture, Planning and Design ask for Ms. Angie Pfzenmaier. You can ask to speak to Mr. Scott Schlender as well.

Carol Shanklin Students completing their masters degree by the August graduation can obtain permission to participate in the May commencement. Your major professor would have to write a letter to the Dean of Graduate School requesting special permission for you to participate, indicate your status relative to completion of all courses and your thesis or report, if applicable, and the reason you cannot participate in the December commencement. Your name would not appear in the Commencement Program since you would not have submitted an approval form. However, your name would be called during commencement and you would receive a blank diploma cover when you cross the stage. Doctoral students and students pursuing a MFA cannot participate in commencement until all requirements for the terminal degree have been completed and all required documents completed.

Carol Shanklin If your major professor submits a request to the Dean of the Graduate School with justification supporting you participating.

Kara Ross asks:What is the difference between the deadlines for commencement and the deadlines for graduating?

Carol Shanklin Graduation Deadlines--identifies dates that forms and documents need to be submitted to Graduate School for you to participate in commencement. Graduation deadline--identifies dates that forms and documents must be submitted to graduate a specific semester. Students graduating in May, will have a May 14,2010 on their diploma and transcript.

Angie Pfizenmaier I am not certain of the exact deadline. Please feel free to contact the Graduate School tomorrow and I shall find this date for you. You may also contact the K-State Union Bookstore or Varneys (785-532-6583, 1-800-578-2287) for that date.

Students completing their masters degree by the August graduation can obtain permission to participate in the May commencement. Carol Shanklin Masters students will need to purchase a robe, master hood, and cap. Doctoral students may rent or purchase their regalia. For details on deadline for ordering/purchasing your regalia call K-State Bookstore at 532-6583 or Varney's at 539-0511.

Ana Barboza asks:Hi. In the Commencement Registration it says that I should capitalize letters in the accented syllable. Is that enough?

Angie Pfizenmaier It would be best to contact Lori Grelk (lmgrelk@ksu.edu) 785-532-6191 to make certain the correct accents are placed on your name.

Chad Fitzloff asks:I took two semesters of MA research hours of 6 hours each, and now they appear as zero on my DARS report, as in subsequent hours I have taken one hour each. How do I correct this to show that I have completed the minimum 6 research hours?

Angie Pfizenmaier The DARS report will post as zero due to the research hours being listed as a grade of "I" (incomplete). Once the research hours have been changed from "I" to "CR" (credit), they will appear correctly. If you would like to double check on those hours, as a master student, please contact Lori Grelk at the Graduate School.

Carol Shanklin You need to have your dissertation defended and your dissertation uploaded to K-Rex by the deadline. Please make certain you allow several days between the date of your defense so you can make changes in your document. If you have not done so, please contact your outside chair to make certain he/she is available. The outside chair is an important member and should be treated as a committee member at this time.

Carol Shanklin Before leaving campus, make certain there are no holds of any kind. If you do have holds Graduate School cannot mail your diploma and the Registrar cannot release your final transcript. If there are no delays from the printer Graduate School received diplomas approximately 8-10 weeks after commencement. We mail the diplomas air mail. Make certain the address to which diploma is mailed is large enough to hold the diploma.

Weier Bao asks:Hi Dr. Shanklin,Thanks for your time to answer the question. My situation is a little bit different: I am an international student. I just transfer from PhD to Master in the same program and I will graduate in this semester.I just submit the document to the graduate school to change my I-20 form then I can apply OPT as soon as possible, because now I have a potential job offer. The problem is that I also need a new F-2 I-20 form for my wife although she is here now. The graduate school asked me to show the financial affidavit over 30,000 dollors which can cover the whole year expense. I don’t think it’s reasonable, because I will graduate in a month and I don’t need to pay any tuition fees to school and I don’t have so much money right now. I just hope the graduate school can let me show less financial document then they can issue my wife the new F2 I-20 form, after all she is here now.

Carol Shanklin Please send me an email with your name and I'll explore your situation and provide you with a response to your email. Issuing new I-20s have certain rules that the university has to comply. We'll do what we can to help you. However, we may have to refer you to an advisor at the ISSC.

Kara Ross asks:Why are there ETDR fees?

Carol Shanklin ETDR fees are charged to help defray the cost of maintaining K-Rex, upgrading equipment and software, pay for staff time to assist students when they have problems using the template and related cost. The ETDR fee is less than what students previously paid when they had to purchase special paper and print multiple copies of their thesis, dissertation, or report. As noted in the information about ETDR on the Graduate School website, there are many benefits of submitting your thesis/report/dissertation electronically. Your research is more accessible to the public and professionals in your field.

Chad Fitzloff asks:For submitting a thesis to the committee, how long do they have to complete it before the MUST be done? the candidate must give them 10 days, but can they take forever to get their reading finished?

Carol Shanklin I am not certain if you are referring to the length of time your major professor can take to review you thesis or dissertation or if you were asking about your committee. If you have given your committee the copy your major professor approved for you to distribute and obtain signatures on the approval form, then the thesis/dissertation should be read and ready to give back to you at your oral defense.

Carol Shanklin For doctoral students defending this semester,please contact your outside chair immediately to make certain they are not on sabbatical or are no longer at K-State. If either of these situations occur, contact Angie immediately so I can assign a new outside chair.
