Procedures for Permissions

Let Mike Crow know if there are changes to the college plan.  Permission capability will be restricted by academic organization to department courses only.

Discussion: 

What is handled by class permission and what is handled by Quick Enroll?

Instructor/Department Consent (class permission number entered by instructor, dept office or Enrollment Services)  
Class permission number overrides

  • requisites,
  • capacity  (and existing waitlist), and
  • consent requirement.

Student uses self-service to enroll, days 0-21.

Dean’s Office (check class permission box in Quick Enroll)

Quick Enroll overrides

  • requisites,
  • capacity (and existing waitlist),
  • consent requirement,
  • time conflicts, and
  • overload limit (21 units).

Overrides cannot be specific – e.g., cannot override “requisite only” so student can go on waitlist for a class.  If given permission, student can enroll – regardless of waitlist or room capacity.  Quick Enroll has choices for actions and needs to be tested to determine if individual override actions are possible.

  • “General Overrides” check boxes for Unit Load, Time Conflict, Requisites
  •  “Class Overrides” there are check boxes for Class Limit, Class Links, Class Permission, Wait List Okay)

Mike Crow will check to determine if prerequisites can be overridden to allow placement on WAITLIST.

All time conflicts require Quick Enroll – cannot be handled through Student Self-Service even with permission.  Engineering will test “block enrollment” which may be a solution for some time conflicts (e.g., quiz section that conflicts with seminar three times/semester but the time conflict can be accommodated).

“Capacity” may be room capacity, or may be instructor’s preferred class size.  Exceeding room capacity is a problem.  Exceeding preferred class size is instructor’s prerogative if room capacity is not exceeded.

Should there be a “Time Conflict” check box on the permission form?  

  • No – there will be a different form, “iSIS Action Date Change Request.”
  • No – cannot give permission for only one type of override.  (Except maybe in Quick Enroll?)

DARS

Problem:  iSIS will not recognize course equivalencies for transfer courses coded UNKWN but applied as exceptions.  Only one other school (UC-Riverside) uses DARS for requisite checking.  iSIS has a degree audit module but we won’t be using it – staying with DARS.

Center

Student Center will be added to Dean’s Office role.  Modified version (first two pages) will be added to Advisor Role.

Load Tests

Tests are moving along.  Currently up to 1400 concurrent users before problems occur, and plan is to get that number up to 2500.  More complicated testing will begin next week.

Question:

Will class search slow it down?  We’ll see.

Question:

 Is program/plan search time improved?  Yes, and even more improvement may be seen.  Also work is being done to correct slow “SAVE” processing time.

Program/Plans

Clean-up is in progress.  Dean’s Offices may be contacted if there are data entry errors to correct.

Current State of the Class Schedule and Room Scheduling

Enrollment Services is working hard to meet Feb 22 deadline.  Gunile will contact Class Schedulers individually for any needed clarification.  Priority will be given to correcting errors that impact enrollment.  Class Schedulers continue to have access to update instructors.  All other changes have to be done by Enrollment Services.

Dean’s Offices will be notified when room assignments are made.  Dean’s Offices are to notify departments to run a copy of their class schedule to review.  Any problems/changes need to come back to Dean’s Offices before contacting Enrollment Services.

Requisites

Requisites need to be in CS-2/KSU Development.  Requisites that are ready need to be checked “approved” to be attached.

Pilot Enrollment

Mike Crow will send out a comprehensive list of students in pilot.  Notify advisors for these students about the need for early advising.

Updated Role Sheet for Student Workers is still in development. 

Question:  Is advisor role required to run DARS?  Yes, but access to DARS may be added to student worker role.

Forms

Gunile requested input on forms distributed earlier by e-mail (Student – iSIS Schedule Request, Instructor/Department – iSIS Class Permission) – forms go to press on Friday, Feb 8.  An additional form (iSIS Action Date Change Form) also was distributed for review.  A form for backdated withdrawal will be coming later.
