CALL TO ORDER:

Ray Hightower convened the meeting at 10:35am.

ANNOUNCEMENTS:

The question of university policy regarding students bringing babies to class was raised as a new item of business. A quick poll of those attending revealed no immediate knowledge of a university policy. However, Mike Perl indicated that the College of Education had encountered this situation and they had a policy.

College representatives were asked to check with departments about challenges or problems encountered with scheduling departmental seminars for spring of 2004 and fall 2004.

MINUTES:

The minutes of the September 8, 2004 meeting were approved.

The minutes of the October 6, 2004 special meeting were approved.

OLD BUSINESS:

Kevin Donnelly - Final Exam Policy

The issues continue to revolve around the increasing number of night exams; the increasing potential for conflict between day classes and evening college; and classes with multiple sections being offered through different venues. It has been expressed that a less complex document needs to be provided to students. Prior to inclusion in the faculty handbook, the Final Exam Policy would need to be approved by Faculty Senate.

Ray Hightower - Academic Definitions

A draft of Academic Definitions, prepared by Ray Hightower, was passed out. Members were asked to review the definitions for the November meeting.

NEW BUSINESS:

Diane Barker (for Alison Wheatley) - Non-Standard Class Meeting Times

The social work program has attempted to work with the standard class meeting times and has found that the class times do not mesh with the pedagogic needs of the major. They have requested a permanent non-standard class meeting time for:

SOCWK 310 Research Methods II
SOCWK 310 Social Work With Groups
SOCWK 560 Social Work Practice I
SOCWK 525 Human Behavior in the Social Environment II

It was moved by Mike Perl and seconded by Karen Pence to accept the petition. The motion passed.

Ray Hightower - Review Advising Procedures

Reinstatement - All the colleges, with the exception of Arts and Sciences, report having a reinstatement committee that meets two to four times each year to hear requests for reinstatement. The colleges report that some exceptions are granted to students requesting a hearing prior to being away from the university for two semesters. Due to the size of the college, Arts and Sciences relies on the Dean's Office to determine whether or not a student is reinstated.

Curriculum Change - Each college reported the files and other materials received after a student changes curriculum are appropriate.

Advising Flags - No college reported releasing students for pre-enrollment "en mass".

Larry Moeder - Admissions and Financial Aid

November 1 is the university's scholarship deadline for high school seniors.

A great deal of time is being spent on the LASER project. There has been a shift in the schedule which is to be expected with a project of this degree of complexity and scope. The recruitment module is scheduled to come on-line for July 2005. The admissions module, which needs to mesh with that particular cycle, will be ready approximately nine months later. The module for financial aid and student records is due to be ready by January 2007. There have been concerns expressed about the "survival" of the current system and plans are being considered to manage the student information system should a problem occur.

Alice Trussel (for Dave Stewart) - Academic Affairs

A committee is being formed to consider the policy on dropping students for non-attendance on the first day of class.

The surveys for graduating seniors and alumni are being updated.

Mike Lynch - Education and Personal Development

Colleges need to make a concerted effort to have the advisor assignments uploaded by next week because the advisor survey is scheduled to go on-line on October 25 th . The advisor survey can be completed prior to the student enrolling for spring semester. The system is designed so the student cannot bypass the survey but he or she can elect to not respond. There is interest in adding a question(s) about the student's sense of increasing the diversity of academic experiences.

Oracle will try to accommodate the academic progress reports for new freshmen.
