Pre-Search Procedures for Unclassified Professional Positions

The Division of Human Resources and Office of Institutional Equity have refined pre-search procedures for unclassified professional positions to ensure that K-State complies with state and federal regulations that require K-State to assign an official and appropriate job title to each position and determine the overtime exempt or non-exempt status of each position. Following are the refined pre-search procedures.

A. New Position
  1. Obtain position number from the Budget Office.
  2. Prepare a Position Description (PER-23) form and an organization chart. (See Writing an Accurate Position Description). Use the same business title as listed on the PER-36.
  3. When the Budget Office provides notification of the new HRIS position number, submit the PER-23 and organization chart to the Office of Institutional Equity and the Division of Human Resources, respectively for review and assignment of an appropriate job title and for determination of overtime exempt or non-exempt status under the Fair Labor Standards Act.
  4. If the position is determined to fit within the classified service, complete a DA281-2, Classified Position Description form and submit a PER-5, Request for Certified List to Human Resources, then follow the normal classified employee recruitment procedures.
  5. If the position is determined to be an Unclassified Professional position, the Office of Institutional Equity will provide notification of the official job title and job code.
  6. When the Office of Institutional Equity provides notification of the official job title, follow the Checklist for Recruiting and Hiring Faculty and Unclassified Professionals.
B. Existing Filled or Vacant Position and No Changes in Duties
  1. Follow the Checklist for Recruiting and Hiring Faculty and Unclassified Professionals.
  2. Contact the Office of Institutional Equity with any questions concerning the forms used for the search, the search committee, or the search procedures
C. Existing Filled or Vacant Position with Changes in Duties
  1. Prepare a Position Description (PER-23) form and an organization chart. (See Writing an Accurate Position Description).  In the “Business Title’ section, enter the same business title as listed in the “Title” section of the PER-36.
  2. Submit the PER-23 and organization chart to the Office of Institutional Equity and the Division of Human Resources, respectively for review and confirmation or change of job title and for re-determination of overtime exempt or non-exempt status under the Fair Labor Standards Act.
  3. Submit a new PER-36 to Human Resources if the Office of Institutional Equity and/or Position Administration determine changes in the duties require a new job title for the position and/or a change in the of overtime exempt or non-exempt status of the position.
  4. When the Office of Institutional Equity provides notification of the official job title, follow the Checklist for Recruiting and Hiring Faculty and Unclassified Professionals.
  5. Contact the Office of Institutional Equity with any questions concerning the forms used for the search, the search committee, or the search procedures.
