Documentation Required for Annual Evaluations
Ongoing documentation of the annual evaluation process markedly reduces the
likelihood of future grievances, retroactive reviews, and disputes over tenure
and promotion. The documentation will be reviewed by the Office of Academic Personnel and by the Office of Research and Analysis.
The purpose of this review is to determine if questions exist as to equity
and process. This review enables us to address these issues before rather
than after the completion of the evaluation cycle.
Deans and Vice-Presidents should submit the following information (as
outlined in Appendix Q of the University Handbook) to the Office of the Provost
by March 19, 1999:
- a copy of the evaluation system used to prepare the evaluations;
- the written evaluation and supporting documentation for each regularly
appointed unclassified person employed for at least three months during
the calendar year;
- the signature of the faculty member as evidence that they have been
given the opportunity to review and discuss their evaluation;
- a list of all faculty being evaluated starting from high and proceeding
to the low (i.e. exceeded, met, or failed to meet expectations);
- a separate rationale to support salary adjustments other than for merit
(i.e. compression, market, and equity); and
- any written statements of unresolved differences submitted by unclassified
individuals regarding their evaluations.
